Rules for the team

Situation

The situation

An AI usage policy, on one page, that everyone reads.

You run a 12-person accounting firm in Clermont-Ferrand. Several staff members use AI, each in their own way. You want clear rules, on one page.

Idea 1 of 3

One page, read by everyone

An AI usage policy says what is allowed, what is forbidden and who to ask. A short page gets read. A long document rarely does.

Idea 2 of 3

Four sections at least

The approved tools, with the plan used. The data never to enter. The required human review before use. The person to tell in case of an incident or doubt.

Idea 3 of 3

Better than a ban

Banning everything pushes people to use personal accounts, with no safeguards: this is shadow AI. Offer at least one approved tool, and explain why each rule exists.

Example

Before and after

Avoid

Write an AI charter.

Better

Write our accounting firm’s AI usage policy, on one page, in plain words. Sections: approved tools and plan used, data never to enter, required review before sending, who to tell in case of an incident ([LEAD PERSON]).

Why? All four sections are there, in plain words, and the request contains no personal data.

Question 1 of 2

Why not simply ban AI?

Why not simply ban AI?
See the answer

What should the policy say about data?
